Terms & Conditions for Venue Hire

Booking and Payment

1. Venue hire is subject to availability and is not confirmed until the online booking process has been completed and a confirmation has been received

2. The balance is due the moment the room is booked and the total room hire fee is required to confirm a booking.

3. The Observatory Photography Gallery reserves the right to cancel the booking if the deposit and/or balance payment is not received on time.

Cancellation and Refunds

1. Cancellation must be made in writing and acknowledged by the Observatory Photography Gallery.

2. If cancellation is made more than 7 days before the event, booking fee will be refunded in full.

3. If cancellation is made less than 7 days before the event, only 50% of the booking fee will be refunded.

4. If cancellation is made less than 2 days before the event, the full room hire fee will be charged.

Use of Facilities

1. The room will be available for use at the agreed times only. Any additional time required will be charged at the hourly rate.

2. The hirer is responsible for ensuring that the room is left in the same condition as it was found.

3. The hirer must comply with all relevant health and safety regulations and fire evacuation procedures.

4. The hirer must not cause any damage to the property or the facilities.

Catering and Refreshments

1. The Observatory Photography Gallery can provide their beverages and food that is sold at the Observatory Coffeeshop.

2. Any beverages or food items ordered must be payed while placing the order.

Conduct

1. The hirer and their guests must conduct themselves in a respectful and appropriate manner.

2. The hirer must ensure that there is no disturbance to neighboring properties or businesses.

3. The Observatory Photography Gallery reserves the right to terminate the booking immediately if the hirer and their guests do not comply with these terms and conditions.

Liability

1. The Observatory Photography Gallery will not be held liable for any loss, damage or injury to persons or property arising from the use of the room or facilities.

2. The hirer is responsible for their own insurance cover for the duration of the event.

3. The hirer will be responsible for any damage caused to the property or facilities during the event.

Indemnity

1. The hirer will indemnify and hold the Observatory Photography Gallery harmless from any claims, actions, costs or expenses arising from the use of the room or facilities.

Governing Law

1. These terms and conditions shall be governed by and construed in accordance with the laws of the jurisdiction where the Observatory Photography Gallery is located.
